1. How We Receive Documents
Most government departments and private institutions deliver completed documents to us electronically via email or official online portals.
These include:
- SARS (Tax & Compliance)
- CIPC (Company Registrations & Amendments)
- Municipal licensing, permits & compliance bodies

We forward documents to you in the exact electronic format in which they are received
(PDF, e-document, portal extract, email attachment, or screenshot of confirmation).
2. How We Deliver Documents to You
All completed documents are sent to the email address you provided when engaging our services.
Delivery includes:
- The official document(s)
- A short explanation or status update

If you prefer a secure portal, encrypted file, or password-protected documentation, we can arrange this on request.
Physical copies: If you require certified hard copies, courier/postal delivery can be arranged at your cost.
3. Verification of Authenticity
Before sending documents to you, we verify them using the issuing authority’s official validation tools, such as:

- SARS eFiling / Tax Compliance Status verification
Verification confirms that the document matches the authority’s records at the time of checking.
If a document cannot be verified, we will notify you immediately and advise on next steps.
4. Your Consent to Electronic Delivery
By using our services, you consent to:
- Receiving documents electronically via your nominated email address
- Accepting documents in the original format supplied by the issuing authority
- Our use of official verification systems to confirm authenticity
You may update your preferred email address at any time by notifying us in writing.
5. Security & Confidentiality
We apply reasonable security measures when storing and transmitting your documents.
This includes:
- Secure email transmission
- Password-protected files on request

While standard email is widely used in South Africa for business administration, you are welcome to request enhanced delivery security at any time.
6. Timing & Turnaround
We forward documents to you within 1 business day after receiving and verifying them.
If verification cannot be completed immediately due to system downtime or external delays, we will inform you and share updates until delivery is finalised.
Documents received after hours or during public holidays will be forwarded on the next business day.
7. Client Responsibilities
To ensure smooth delivery, clients must:
- Provide a valid and regularly monitored email address
- Inform us of any changes to contact details
- Review delivered documents promptly
- Notify us within 5 business days of any errors or concerns
Requests for certified copies, additional searches, or extended verification may carry additional fees.
8. Limitation of Liability
We act as an intermediary for documents issued by government departments and third parties.
While we conduct reasonable verification checks, we cannot guarantee that documents are free from error, fraud, or later changes made by the issuing authority.
For high-risk, legal, or transactional purposes, we recommend requesting certified copies or direct registry-issued certificates.
9. Records Retention
We securely store electronic copies of documents for 5 years, in line with legal and professional requirements.
